This web page is provided as a service to users of the Event Scheduling
Services at California State University, San Bernardino. Event Scheduling
is committed in providing expertise for your event, party, business meeting
or workshops.
Our professionals will assist in selecting the right rooms and help ensure
your event needs are filled. Please call extension 5236 for more information
and have the following information ready for the reservation process:
- Title of Activity
- Brief Description of Activity
- Location of Event
- Date of Activity
- Start Time / End Time
- Estimated Attendance
- Name of Organization and billing information
- Contact Person's Name and Phone Number
- Will alcohol be served?
- A Hold Harmless Agreement is required for all groups other than academic departments and university chartered organizations.
- A Certificate of Insurance is required for groups other than academic departments and university chartered organizations ($1,000,000 minimum coverage required).
Policies
A CSUSB Facilities Lease Agreement
or CSUSB Space Reservation form
is required for each event booked at the campus. The lease agreement should
be completed in its entirety before forwarding to the Event Scheduling office.
Once all signatures are obtained, you will receive confirmation of your request.
The Facilities Lease Agreement or Space Reservation Form must be submitted
to the Event Scheduling Office at least ten (10) working days prior to the
event. Facilities are scheduled on a first come, first served basis.
Inquiries can be made prior to the submittal of the agreement by contacting
Event Scheduling.
Responsibility
All groups are required to comply with campus policies and regulations
pertaining to their activity or program. Please refer to the
Buildings & Grounds Use Policy (AKA: Facility Use Policy) for complete information.
Billing procedures
Event Scheduling will work diligently with your organization to keep the
university's cost to a minimum. However, in order to effectively serve
your needs, the cost will be determined and billed accordingly. This will
allow the university to maintain a high standard for continued patronage.
Cancellations/Charges
Cancellation of meetings must be made no later than two (2) business days
prior to the meeting. Cancellation of events must be made no later than ten
(10) business days prior to the event. Labor charges will be assessed for
cancelled functions when any costs have been incurred. Changes in reservations,
which incur costs to the university, will result in the assessment of additional
charges.
Serving Food/Food Services
Foundation Food Service offers complete catering services for functions held
on campus. All food and beverages served must be provided through Foundation
Food Services unless permission to utilize another food supplier is granted
in writing by Food Services. Catering arrangements for banquets, buffets,
receptions or refreshments may be made by contacting the Catering Department
at (909) 537-5916.
Alcoholic Beverages
The consumption of alcoholic beverages is strictly controlled by the
university's Policy on
Alcoholic Beverages on Campus. All uses of alcoholic beverages on campus
must comply with this policy. The serving of alcoholic beverages must be
arranged at the time of making a facility reservation. Approval for the
serving of alcoholic beverages must be gained at least four weeks prior to
the date of the event.
Interim Energy Policy
The purpose of this policy is to provide initiatives and guidelines for the
campus to control its use of energy, manage utilities expense, and to do so
in support of the mission of the university. Additional utility charges may
be incurred at the time of booking. The Event Scheduling staff may direct
you to a more energy efficient campus location to serve your needs.
